Job Description
Primary Responsibilities:
· Plans, coordinates, and ensures the CEO's schedule is followed.
· Conserve executive's time by reading, researching, and routing correspondence and initiating communications.
· Maintain executive's complex Outlook Calendar by planning and scheduling meetings, conferences, teleconferences, and travel
· Provides administrative support to the CEO and his family by booking travel, which includes but not limited to booking flights, car services, rental cars, hotels, and dining reservations. Communicates directly, and on behalf of the CEO, with Executives, Professional Network. Colleagues and Family members by planning group outings/trips; sending Anniversary, Condolence, Congratulation gifts.
· Researches, prioritizes, and follows up on incoming professional or personal issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
· Provides a bridge for smooth communication between the CEO's office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
· Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
· Assist in integration of “the culture” and the new employee experience
· Enhances executive and corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
· Maintains customer confidence and protects operations by keeping information confidential.
· Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion.
· Assists in coordinating the agenda of meetings on and off site and ordering lunch for all members as directed.
· Coordinates and executes company-wide events.
Job Requirements
· Business-related Associates or Bachelor’s degree or equivalent preferred.
· 5-10 years of experience in a similar role.
· High level of oral and written communication skills.
· Strong computer skills, particularly Microsoft Office Suite (Outlook, Excel, Word, etc.)
· High level of interpersonal skills and business acumen.
· Strong organizational and planning skills, including event planning.
· Seasoned problem-solving skills.
